Internal Tool Field Audit Last updated: 24 August 2026

About This Policy

This Privacy Policy describes how the UEDCL Audit web application ("the App") collects, stores, and uses information when field audit teams complete electricity distribution audits on behalf of Uganda Electricity Distribution Company Limited (UEDCL).

The App is an internal tool. It is not marketed to or intended for use by members of the general public. Access is restricted to authorised UEDCL field audit personnel whose credentials are managed in the TEAMS register.

What Data We Collect

When an auditor completes and submits a field audit form, the App captures the following categories of information:

CategoryDetail
Identity Auditor name (entered at login). No password is stored beyond the login check against the TEAMS register.
Customer information Customer name, contact number, and physical address or location of the installation site.
Location data GPS coordinates of the electricity pole and meter box, captured from the device's location sensor with the auditor's knowledge.
Installation records Date of audit, date of installation, territory, district, project type, connection type, work request number, meter number, and approximately 60 material quantity fields.
Compliance checks Yes/No responses to 10 installation quality checks and 4 customer experience questions.
Photographs Up to two photos per audit (photo of the installation and photo of the meter on the pole), captured or selected by the auditor using the device camera.
Audit outcome Audit status (Approved / Not Approved / Pending) and free-text remarks.
The App does not collect browsing history, device identifiers, advertising IDs, biometric data, or any information unrelated to the field audit record.

How We Use the Information

All data collected by the App is used solely to document and manage UEDCL electricity connection audit records. Specifically:

Audit records — Form data (all 85 fields) is appended as a single row to a designated Google Sheet ("Quality and Material Checklist" tab) for review by UEDCL audit supervisors and management.

Photographs — Installation photos are uploaded to a Google Drive folder named "UEDCL Audit Photos" and a link to each photo is recorded in the corresponding audit row in the Sheet.

No data is used for advertising, profiling, analytics products, machine learning training, or any purpose other than UEDCL audit record-keeping.

Google Services and Permissions

The App runs on Google Apps Script and uses the following Google API scopes:

ScopeWhy it is needed
spreadsheets To append each completed audit record as a new row in the designated Google Sheet.
drive To create and store installation photos in the "UEDCL Audit Photos" folder on Google Drive, and to generate shareable view links for those photos.

The App's use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements. Data accessed via Google APIs is used only for the purposes described in this policy and is not transferred to third parties.

Data Sharing and Disclosure

Audit data is not sold, rented, or shared with any third party for commercial purposes. The information is accessible only to:

— UEDCL audit supervisors and management with access to the Google Sheet.
— Authorised technical personnel who maintain the App and the Sheet.
— Google LLC, as the infrastructure provider (Google Sheets and Google Drive), subject to Google's own Privacy Policy.

Data may be disclosed if required by Ugandan law or a lawful regulatory authority.

How Long We Keep Your Data

Audit records are retained in Google Sheets and Google Drive for as long as UEDCL requires them for audit, compliance, and regulatory purposes. Individual records may be deleted upon request from UEDCL management. Photos stored in Google Drive are subject to the same retention schedule as the corresponding Sheet row.

Data Security

Access to the App is controlled by a name and password check against the TEAMS register. The App runs within Google's infrastructure, which applies industry-standard security controls including encryption in transit (HTTPS) and at rest.

No audit data is stored on the auditor's device beyond the active browser session. Photos are uploaded immediately and the local file reference is discarded after upload.

Access and Correction

UEDCL field auditors who wish to review, correct, or request deletion of audit records they have submitted may contact the App operator using the details below. Requests will be addressed within 14 working days.

Changes to This Policy

This policy may be updated to reflect changes in the App's functionality or applicable law. The "Last updated" date at the top of this page indicates when the most recent revision was made. Continued use of the App after a revision constitutes acceptance of the updated policy.
